Scheduling and dispatch

The best scheduling and booking software for small cleaning companies

Where I'm coming from: my company does scheduling and office work for home service businesses, including cleaning companies, so I'm not a neutral party. I don't get paid by any company in this guide, there are no affiliate links, and every price links to the vendor's own page.

Running a cleaning company on a paper calendar or a shared Google Calendar works for a while. Then you add a few cleaners and a stack of recurring clients, and every reschedule turns into a chain of texts. Customers also expect to book and pay online now, without calling.

I've spent more than 25 years in customer service, sales, and operations. In this guide I'll compare five tools small cleaning companies actually use: three built for maid services (ZenMaid, Launch27, and BookingKoala) and two general home-service platforms (Jobber and Housecall Pro). I've left out limited-time promotions and used regular list prices.

The short answer

  • Lowest published entry prices: ZenMaid Starter is $19 a month plus $4 per team member, and BookingKoala starts at $27 a month for up to 5 providers.
  • Built for maid services: ZenMaid Pro ($39 a month plus $14 per team member) and Launch27 ($75 to $299 a month, unlimited users) are designed around recurring cleanings and booking forms.
  • If you also do other services or want one system for everything: Jobber (from $29 a month billed annually) and Housecall Pro (from $59 a month billed annually) cover quoting, invoicing, and payments too.

What a cleaning company needs from scheduling software

  • Recurring appointments (weekly, every other week, monthly) that are easy to move when a client or cleaner cancels.
  • An online booking form on your website, so new customers can see a price and pick a time without calling.
  • Automatic reminders by text and email, so fewer cleaners show up to a locked door.
  • A mobile app for cleaners with their schedule, addresses, and checklists.
  • Payments and invoicing, ideally charging a card on file after the clean.
  • Payroll reports that show hours or pay per cleaner, so payday doesn't take all evening. (More on that in payroll for a small cleaning business.)

ZenMaid's per-person price comes from the calculator on its pricing page, which counts cleaners and office managers; its prices exclude SMS charges. Launch27 offers 15% off for annual billing ($765, $1,530, or $3,049.80 a year). BookingKoala defines a "provider" as someone who performs the service, and counts each team member as a provider. Jobber and Housecall Pro show both annual and month-to-month prices.

What a 5-person cleaning company would pay

Say it's the owner plus four cleaners, and everyone needs the app. These are made-up numbers, for the math only, using the list prices above.

OptionHow it's calculatedMonthly cost
BookingKoala StarterUp to 5 providersFrom $27
ZenMaid Pro$39 + 5 × $14$109
Launch27 ProFlat price, monthly billing$150
Housecall Pro Essentials5 users included, billed annually$149
Jobber Connect, 5 usersBilled annually$149
Launch27 PlusNeeded for the cleaner mobile app$299

Software fees only. Card processing, text-message charges, and sales tax are extra. ZenMaid Starter would cost $39 for the same team ($19 + 5 × $4), but it caps you at 40 appointments a month, which a busy five-person team can pass in a week or two.

Notes on each tool

ZenMaid

Built only for maid services. Pro adds unlimited appointments, digital checklists, cleaner GPS tracking in the app, website booking forms (with ZenMaid branding), reports, and payroll. Pro Max adds your own branding on booking forms, PTO tracking, customer ratings, and Mailchimp and Zapier integrations. Its pricing page lists QuickBooks integration as "coming soon." It's month-to-month with a 14-day free trial.

Launch27

Also built for cleaning companies, with flat pricing and unlimited users, which helps as your team grows. Base includes a booking form, scheduling, payroll reports with revenue split and commissions, and email reminders. Pro adds text reminders, a QuickBooks integration, and booking forms without Launch27 branding. The cleaner and admin mobile apps and automatic card charging are on Plus. Launch27's site footer still shows a 2023 copyright, so confirm current pricing with them before you sign.

BookingKoala

A booking-website builder for service businesses, priced by number of providers. Starter includes a website, booking forms, scheduling, and mobile access. Growing adds advanced reports, referrals and ratings, gift cards, GPS clock-in and out, and SMS notifications. It offers a free trial; when I checked, the page mentioned both 14-day and 30-day trials, so ask which one you'll get.

Jobber

A general home-service platform with online booking on every plan. Connect adds automated client reminders, automatic payments, and QuickBooks Online sync. It's a good fit if you also sell services like carpet or window cleaning that need quotes. Jobber also sells an AI Receptionist add-on for $29 a month.

Housecall Pro

Also general-purpose, with online booking, scheduling, invoicing, and payments on every plan. Housecall Pro lists home cleaning as one of its industries. Essentials includes 5 users and adds routes, checklists, and QuickBooks Online sync. I compare Jobber and Housecall Pro plan by plan in Jobber vs Housecall Pro vs ServiceTitan.

How to pick

  1. Start with how customers book. If most new clients come from your website, the booking form matters most. Try each one as a customer would, on your phone.
  2. Count who needs a login. Per-person pricing (ZenMaid, Jobber, Housecall Pro) is cheaper for small teams. Flat pricing (Launch27) gets better as you grow.
  3. Check the cleaner app is on the plan you're pricing, not one tier up.
  4. Make sure it connects to how you pay people and to your bookkeeping.
  5. Use the free trial on real work. Put a week of actual recurring clients in before you decide.

Online booking also helps with the customers who won't leave a voicemail. If phone calls are slipping through too, see what missed calls cost a home service business.
