The phone rings while you're under a sink, on a roof, or driving between jobs, and the call goes to voicemail. A lot of those callers don't wait for you to call back. In Lobby's 2026 test of 16,051 local service businesses, a live person answered 37% of calls to HVAC companies and 32% of calls to plumbers. In a 2025 CallRail survey, 82% of consumers said they'd call a competitor if a business didn't answer.
This checklist puts the fixes on one page you can print and work through with your team. Most of it costs nothing but a habit.

What's on the checklist
- Measure your missed calls from your carrier or phone app, and put a dollar figure on them.
- Set a call-back rule and use a short call-back script that always offers a time.
- Turn on automatic text-back and fix your voicemail greeting.
- Cover after-hours and overflow, with the main options to compare.
- Log every lead, ask to book, and follow up on estimates on a set schedule.
- Hold a 15-minute weekly review to keep it working.
Who it's for
Owners and office managers of small HVAC, plumbing, and cleaning companies who answer their own phones, or rely on whoever is free. I couldn't find a credible missed-call study for cleaning companies specifically, so the answer rates above are for HVAC and plumbing (the CallRail survey covers consumers in general), but every step on the checklist applies to any business that books work by phone.
